  • Purpose of Role

    The Match Day Assistant is a volunteer role. The Match Day Assistant will assist the Event Managers with managing team movements. The key purpose of the role is to ensure that teams leave and arrive at designated locations on time to ensure the smooth running of the tournament

  • Key Areas of Responsibility

    • Ensure teams move in a timely fashion to designated positions so that the tournament runs as per the tournament match schedule

    • Assist with the delivery of presentations

    • Assist with other event related tasks as required and directed

    • Distribute results to recipients in a timely and efficient manner

    • Support the Tournament Office Manager, as required, in the distribution process

    •  The movement of teams through different areas to ensure they are in a designated position on time

    • Run sheet timings are adhered to

    • Time efficient delivery of presentations

  • Unique Criteria

    • The position will involve working Friday, Saturday and Sunday of the tournament with extended working hours on these days

    • There will be lifting required and a lot of time will be spent on one’s feet  Attendance at the volunteer briefing (TBC location and timing)

    • Each Match Day Assistant will be provided with a tournament uniform at the briefing  

    • Meals and drinks will be provided on each day of competition as applicable 

  • Purpose of Role

    The Smoothie Station Assistant is a volunteer position. The main purpose of this role is to make nutritional smoothies for Teams and Event Staff during the three- day tournament. The role is run on a shift basis and will be stationed within the stadium.

  • Key Areas of Responsibility

    • Follow smoothie recipes to create nutritional smoothies for teams and staff  Keep the Smoothie Station clean and tidy

    • Communicate issues to the identified tournament representative 

  • Key Outcomes

    • The accurate and timely provision of information to Teams and Event Staff throughout the course of the Tournament

    • Teams and Event Staff acknowledging they had access to all the relevant information in a timely fashion

    • The ability to approach the role with a flexible outlook as it will evolve during the tournament

  • Purpose of Role

    The Sports Information Assistant is a volunteer position. The main purpose of this role is to provide all necessary information to Teams and Event Staff regarding competition, results and logistics. With so many Teams and Event Staff involved in the tournament, this role is especially important as you will be dealing directly with them ensuring their match day expectations are met . 

  • Key Areas of Responsibility

    • Manage volunteer sign-in 

    • Oversee the distribution of ice and fluids for teams 

    • Communicate issues to the identified tournament representative 

    • Distribute information & official documentation as required  

    • Work with key tournament staff as required to ensure Team requests are managed accordingly 

  • Key Outcomes

    • The accurate and timely provision of information to Teams and Event Staff throughout the course of the Tournament 

    • Teams and Event Staff acknowledging they had access to all the relevant information in a timely fashion

  • Purpose of Role

    The Team Liaison Officer is a volunteer position. The main purpose of this role is to ensure that the touring teams participation in the Tournament proceeds as smoothly as possible and to problem solve all issues related to their participation in the tournament. This role will involve a high level of communication between teams and tournament staff. Successful communication in this role will ensure that issues are either minimized and/or quickly resolved

  • Key Areas of Responsibility

    • Thorough understanding of all travel and accommodation arrangements determined by the tournament staff including contingency planning

    • Assist in the meet and greet process at the airport upon team arrival

    • Ensure familiarity with rooming lists, team and meeting rooms, tournament office and team dining room

    • Ensure any extra personal expenses the team may incur within the hotel are settled prior to check out by Team Manager

    • Ensure arrangements for team laundry/towels are satisfied within budget

    • Under instruction from the Team Manager, organise medical, physio and other treatments for players as required

    • Confirm training venue details and schedules in conjunction with the Team Manager and Tournament Rugby Services

    • Assist in the coordination of social and leisure activities for the team as requested

    • Thorough knowledge of all match day procedures and venue requirements

    • Assist with submission of tournament administration as required

    • Provide interpretation skills if necessary

    • Drive members of the team in the team vehicle as required

  • Key Outcomes

    • Teams will be provided with the necessary support through the arrangements made by the Team Liaison Officer

    • All travel and accommodation needs to operate successfully

    • Teams’ training, transport and leisure activities requirements are met

    • Strong knowledge of Perth and surrounds

    • Extensive knowledge of the Rugby needs to be provided to a National Representative Sevens Team

    • Available to provide expert assistance to the Team Manager throughout the Tournament

    • Ability to anticipate the needs of the team in the city by planning thoroughly and ensuring arrangements are in place prior to the teams’ arrival in the city

    • Possess a flexible approach as the requirements of a team may change from day to day

    • Conversational ability in the language of the team (desired, but not required)

    • Full and valid Australian driving license (Car class – C, or Light Rigid class - LR)

    • Confidence to safely drive a 12-seater vehicle and be of 25 years of age or over

    • Ability to undertake tasks involving heavy lifting

  • Unique Criteria

    • The position will involve weekend work and extended working hours during the week depending on team movements

    • The position will involve living-in with the team at the team hotel and will be required to share rooms with another Team Liaison Officer for the duration of the tournament. All accommodation costs with will be covered by the Tournament during the period

    • Team Liaison Officers will be responsible for the team vehicle at all times during the week

    • Team Liaison Officers must be prepared to work in change room areas of teams as required

    •  Attendance at Liaison Officer Training and Event Briefing to be undertaken the evening of18th January 2025

    • Team Liaison Officers will be provided with a daily per diem to cover mobile phone calls, a tournament uniform

    • Meals and drinks will be provided during the week at the team hotel and on each day of competition as applicable

  • Purpose of Role

    The Assistant Team Liaison Officer is a volunteer position. The position has two core functions:

    1. During the Tournament week, the Assistant Team Liaison Officer will be assisting the Team Liaison Officer to ensure their allocated Sevens team are well supported in terms of logistics and training venue operations. This will include driving the team vehicle to training and around Perth as required

    2. On competition days, the Assistant Team Liaison Officer will assist the Team Liaison Officer with managing the back of house areas in relation to their team. The key purpose of the role on competition days is to ensure the team have everything they require and that they transition team specific areas in a timely manner

  • Key Areas of Responsibility

    Tournament week
    • Assist in the meet and greet process at the airport upon team arrival

    • Assist the Team Liaison Officer with duties involving team logistics and training venue operations.

    • In conjunction with the Team Liaison Officer, drive the team in the 12-seater team vehicle to and from training and leisure activities as required

    • Be responsible for the 12 seater team vehicle outside of official role, i.e. use the vehicle to go to and from home and be able to park the vehicle overnight

    On Competition days
    • Meet teams upon arrival at the venue and escort them to their designated team area

    • Direct players and others around back of house areas, such as: warm-up areas, change rooms, medical and physio areas, dining area, team seating area and associated team pathways

    • Ensure the stock of isotonic drinks, water, catering and ice is maintained in the designated team areas (i.e. moving stock and ice to this area)

    • Ensure ice bath management (if required) is undertaken as directed by Tournament Operations Staff

    • In conjunction with the Team Liaison Officer ensure the designated team areas are clear of equipment and rubbish

    • In conjunction with the Team Liaison Officer ensure that the pre and post-match change room area including ice bath facilities are clean and tidy once the team is finished and that any team equipment or clothing left in these areas is removed so that the space is ready to receive the next team/s

    • Assist with other team requirements as needed

  • Key Outcomes

    • Team Transport to training venues and leisure activities as advised by the Team Liaison Officer is adequate

    • The seamless movement of teams through different transition areas so that there is not a negative impact on other teams or the running of the tournament

    • Team specific areas are kept clean and tidy and fluid stock levels maintained for the teams to an agreed level

  • Unique Criteria

    • The position will mainly be “on-call” based on proposed team movements. Therefore the applicant will be required to reside or have accommodation in greater Perth area for the tournament week

    • The position will involve weekend work and flexible working hours during the week depending on team movements

    • Assistant Team Liaison Officers will be responsible for the team vehicle at all times during the week including parking the 12-seater vehicle at their personal residence or hotel accommodation.

    • Assistant Team Liaison Officers must be prepared to work in change room areas of teams on competition days as required

    • Attendance at Liaison Officer Training to be undertaken the evening of 18th January 2025

    • Each Assistant Team Liaison Officer will be provided with a daily per diem to cover mobile phone calls and  tournament uniform

    • Meals and drinks will be provided during the week at the team hotel and on each day of competition as applicable

  • Purpose of Role

    The Tournament Office Assistant is a volunteer position. The main purpose of this role is to ensure that the tournament office is staffed at all times, correct information is given to teams, fluids are stocked, and teams’ requirements are met. The tournament office is located in the team hotel and provides the teams and Team Liaison Officers with a central space where they can obtain information about the training venues and the tournament, collect fluids, organise ice and drop off/pick up laundry and towels. 

  • Key Areas of Responsibility

    • Provide relevant information to teams through Team Liaison Officers

    • Stock tournament office with fluids and equipment as necessary

    • Provide assistance with team/staff transport

    • Maintain team training schedules and liaise with training venues on a daily basis

    • Track laundry and towel drop-off/collection

    • Assist Team Liaison Officers with equipment requirements

    • Assist Operations Manager as required

  • Unique Criteria

    • The position will be required on a shift basis from Sunday 19th January to Monday 27th January 2025 at the team hotel

    • Working hours during the week can be negotiated with the successful applicants pending availability

    • Attendance at Team Services Training to be undertaken the evening of 18th January 2025

    • The Tournament Office Assistant will be provided with a tournament uniform as well as 2 General Admission tickets to each day of competition

    • Meals and drinks will be provided on all days as applicable
